Morehouse School of Medicine Improves Project Efficiency with EPM Live PPM Solution

A PPM implementation can be a daunting task but with the right solution and consultants your process should be streamlined to success.

EPM Live valued Partner and widely respected project and portfolio implementation consultancy firm, Cobblestone Consulting, successfully completed an implementation of the EPM Live PPM and Work Management solution with Morehouse School of Medicine. With their new PPM system, Morehouse School of Medicine was able to improve project efficiency by creating better visibility into strategic initiatives and resource management.

Taking into consideration Morehouse School of Medicine’s PMO requirements for collaboration, Cobblestone Consulting implemented a two-phased solution:  1) Framework which allows their leadership to optimize their portfolio against financial, strategic and risk evaluation criteria 2) Deployment of a higher education project portfolio management solution that will:

  • Align planning strategy
  • Sort and prioritize human and capital resources
  • Manage projects that deliver VALUE
  • PMO Design and Development
  • IT Governance Model and Training
  • Training & Workshops

“The goal was to achieve business value with their initial SharePoint investment and methodical strategic planning to minimize risk and maximize potential benefits,” said Laurie Bacopoulos, Cobblestone Founder and CEO.

The Morehouse School of Medicine, Information Technology division knew they needed to deploy a Project Portfolio Management System (PPM) to address their business challenges but were concerned with introducing too much complexity for their personnel.  The organization entrusted Cobblestone Consulting Inc. as their strategic advisor, to select the ‘right-fit’ PPM solution for their organization.  PPM tool selection was a critical step to ensure system acceptance and data integrity.   EPM Live’s PPM tool has the right mix of functionality and ease-of use for the organization.

With the EPM Live PPM solution, the Information Technology organization was able to rapidly develop business-centric dashboard views of their project portfolio with dynamic, real-time reporting, including resource utilization and capacity analytics.  In addition, PPM’s user-friendly timesheets and timesheet compliance reports will allow them to quickly evaluate resource efforts across business units and projects and adjust allocations to meet shifting priorities.   Ultimately, MSM will be able to effectively monitor and control project resources and direct key staff efforts to strategic roadmap projects without compromising existing customer project support.

The Team:

One of the best parts of working at EPM Live is being a part of the team! Here are a few highlights from our journey together through 2012. As the product grows so does the team, EPM Live hired 8 new employees last year! We supported the Fight Against Breast Cancer , we conquered the annual EPM Live CEO Birthday Bash and our Halloween spirit was unmatched at the EPM Live Boot Camp. Our employees are passionate about giving back to our community and organizations close to our hearts. Many EPM Live employees joined together throughout the year to help raise money and awareness for National Tay Sachs and Allied Diseases Organization in association with HOPE FOR GAVIN. 2012 Accomplishments:

So many accomplishments, so little time! The training team successfully launched EPM Live University, one of the most unique online Learning Management Systems on the market today. The EPM Live Partner Certification program was kicked off and added as a learning course in the EPMLU. Our support team adopted to better provide resources and escalation processes. And finally EPM Live 4.3, next generation PPM Work Management Platform, was released driving the PPM industry to new heights. But that’s not all; EPM Live also released the industry’s first full solution app store for the PPM market.

Notable Industry Recognition:

EPM Live was recognized by Gartner Inc. as a “Challenger” in the 2012 Magic Quadrant for Cloud-based Project and Portfolio Management Services. As the only “Challenger” included in the research, EPM Live was singled out for our strong achievements as an online PPM vendor offering a robust solution flexible enough for every user in the organization. Gartner classifies “Challengers” as vendors who resemble Leaders in many ways, such as product depth and breadth but have recently embraced PPM SaaS as their main business model. EPM Live was also award the Next Generation Visionary Leader in IT Management by leading analyst firm Enterprise Management Associates (EMA) for our advancements in Integrated IT Management. EPM Live is one of the first organizations to answer directly to the Integrated IT Management issue with our IT Management application, ITEngine. ITEngine is a complete solution that allows organizations to manage all IT projects and work in a single, centralized system and is our direct response to the Integrated IT Portfolio Management issue.

Congratulations on Another Successful EPM Live Boot Camp!

Congratulations to our EPM Live training team for hosting another top-notch Boot Camp!   Last week, Mark Fish, our Director of Training & Development, and his team provided attendees with an end-to-end understanding of our latest release of EPM Live, version 4.3.  At the conclusion of the event, every attendee was very excited to move to the new 4.3 version so that they could leverage all the new and exciting capabilities!   You can learn more about version 4.3 here.

At EPM Live, we understand that training is critical to ensure a high degree of user adoption, as people tend to ignore what they do not know how to use and embrace what they feel comfortable using.   Our customers have invested a great deal in deploying an Enterprise Project, Portfolio and Work Management tool.  As with any enterprise deployment, they face two main risks:  adoption risk and productivity risk.  To mitigate these risks, we want to help our customers and partners understand the technology in the context of their work.  They should become fluent in the use of EPM Live so that it becomes part of their user’s workstyle.

Some organizations mistakenly think you train users once and you’re done.  But successful training isn’t a one-shot effort.  In fact, we had several attendees attending their second or third boot camp!  This is why EPM Live offers a wide variety of continuous training options for our customers and partners from EPM Live University, Boot Camps, Train-the-Trainer, as well as custom training.  We’re 100% behind our customer’s success!

The Boot Camp was scheduled for four days covering a broad range of topics, and also included Q&A sessions with technical experts and product developers.   This was a landmark for the EPM Live partner program, as Matt Wilson, our Director of Partner Strategy, and his team launched
the official EPM Live Certification Program so that Partners can efficiently deploy EPM Live for customers.

To maintain our work hard, play hard mentality, we decided to host a surprise costume contest for our customers and partners who are at the EPM Live headquarters for a training boot camp.  Needless to say I think our boot campers were pretty entertained! Once our costume parade ended we all had the chance to mingle with each other.  You can see more about our “Spooktackular Halloween” event here. We hope to see you at our next Boot Camp event!

But don’t take my word for it!  See for yourself from our very own EPM Live Customer & Partner quotes below:

“The opportunity to meet people responsible for different aspects of the product/company, including the trainers, developers, architects, account managers, CEO, as well as the partners. It’s nice also to be able to place a name with a face with those we interact with on-goingly. All-in-all I walked away with a great sense of appreciation for the company and all the hard work that goes on behind the scenes.”

“I just wanted to say thank you to the entire staff at EPM Live for a wonderful experience at the 4.3 Boot Camp.  The information you shared was extremely helpful in understanding the product in depth and the new structure for 4.3 and how it will help improve performance going forward”

“I also I really liked the sessions for workflow and reporting, which can really add to the end user experience and help satisfy executive managements needs for reporting that is so vital to managing our business.”

“The enthusiasm that the EPM staff had about the company really showed, even into the late evening hours at the happy hour, and it is contagious.  I even got a chance to talk to Joe Larscheid (CEO) and hear about the early days at EPM and the vision going forward.”

“I liked that we were able to have breakout sessions for partners, have access to the staff and their expertise and brainstorming with other partners & customers.  The facilities were great, nice location and food great.”

“Having also had the opportunity to meet other members of the organization, I must say that everyone was very friendly and it was a pleasure meeting them all.”

“YOU ALL ROCK!  Especially Big F. aka Mark Fish. We are very excited to partner with such a dynamic and talented group of innovators!”

EPM Live, Agile and Team Foundation Server

Many organizations are looking for a way to bridge the gap between Agile project & work management needs and application lifecycle development using Team Foundation Server 2010 (TFS).  Team Foundation Server 2010 automates the software delivery process providing powerful tools to deliver quality software while building and sharing institutional knowledge.   An organization that is looking to have portfolio visibility across all types of projects, manage ALL work, and utilize a more robust agile/iterative planning tool then Excel, can leverage the power of EPM Live with TFS integration.

EPM Live’s partner OAG International, a Gold Certified Microsoft partner, has built an out of the box integration with Team Foundation Server to strengthen your application lifecycle management solution by bridging the gap between Agile project management using EPM Live’s SharePoint based project and work management, and application development using TFS 2010. . We’ve brought together the best of both worlds to create a win-win situation that enables project management/Scrum master and development teams to collaborate and communicate a project timeline and progress using familiar tools such as Visual Studio and EPM Live WorkEngine, or PortfolioEngine on Microsoft SharePoint 2010.  Key highlights include:

  • Robust Agile Planning:  Tightly integrate TFS tasks, resources and activities with EPM Live to get the right information to the stakeholders for planning and collaboration.  Synchronize backlog items with TFS, and use the Agile Planner to iteratively plan and track tasks, defects, etc.
  • Jump-start Adoption:  Your development and project management teams can stay in their comfort zones and easily collaborate and communicate a project timeline and progress using familiar tools.
  • Focus on Productivity: Your employees can utilize the “My Work” module of EPM Live to view all the tasks assigned to them. They can also use the Timesheet module to report time against all their assigned tasks. Managers can perform what-if analysis and optimize resource utilizations.
  • Faster Agility: Utilizing the project roll-up and dashboard functions in PortfolioEngine your agile team will gain faster insight and gain greater control over projects resulting in improved project performance.

How does it work?  Simple….  Each project, or release, is associated to a TFS Project for synchronization.

Then, from EPM Live, Project Managers or Scrum Masters, can easily synchronize the backlog list to Team Foundation Server.  Project Managers, or Scrum Masters, can leverage our pre-built templates such as the Software Development – Agile EPM Live template.  Your team can log defects, features, user stories, and task as they arise, chat in team discussions, and share documents.   Built-in reports let you see relevant project dashboards and artifacts such as Burn Down reports. This template leverages the EPM Live Agile Planner which provides drag-and-drop capabilities for moving backlog items into specific iterations, moving items between iterations, and for decomposing user stories and defects into tasks and subtasks. The EPM Live Agile Planner provides dynamic rollups of Story Points and Work Estimates compared to Point and Work Capacity Values, so that over-allocations can be viewed and addressed.  Immediately capture team status, time and new requests from a simple SharePoint user experience.   View resource workload assignments across all types of work, including backlog items.  You could also leverage the PM plus Agile select template which is our “hybrid” approach to support using waterfall (predictive) and agile (adaptive) methodologies within one template.

On synch, all work items are given a unique ID to be used for mapping purposes, and you can navigate to the work items within TFS:

Now, with all project data in one system, executives have visibility to the complete portfolio of all projects and all work with over 60 pre-built reports!
